Visitor, Office & Appointment Policies – What You Need to Know

Visitor Policy

One-Guest Limit
Due to limited seating in our waiting areas, we ask that you bring only one guest to your appointment.

Children at Appointments
For safety reasons, we cannot allow children ages 18 months to 12 years in our exam rooms or waiting areas. Infants up to 17 months may attend in a stroller or carrier. This policy allows our staff and providers to focus on your care without distraction and helps maintain a calm, professional environment for all patients. We appreciate your understanding.


Identification & Insurance Verification Policy

To ensure proper billing, protect your privacy, and provide consistent care across our Arlington, Mansfield, and Grand Prairie offices, we are required to verify your photo ID and insurance information at the time of your visit.

Please note: Your documentation must match your insurance records, including your name and date of birth. This is a standard across the healthcare industry and is strongly advised by insurance providers and guidelines under the Affordable Care Act to prevent claim denials and insurance fraud. We understand that names may change due to marriage, adoption, or other life events, and we will do everything we can to work with you—but we must follow consistent policies to treat all patients equitably. We are happy to reschedule your appointment once matching documentation is available.


Appointment, Cancellation & No-Show Policy

Need to Cancel or Reschedule?
Please give us at least 24 hours’ notice by calling (817) 468-3255 or using the online patient portal.

Late Cancellations
Appointments canceled with less than 24 hours’ notice may be subject to our no-show policy.

No-Shows
Missing multiple appointments without notice may result in dismissal from the practice.

Emergency Situations
We understand that emergencies happen—please let us know as soon as possible if you need to reschedule.


Illness Policy

If you are experiencing any of the following symptoms, please call to reschedule your appointment:

  • Fever of 100.4°F or higher
  • Cough, sore throat, or body aches
  • Loss of taste or smell
  • Nausea, vomiting, or diarrhea

Feeling unwell at your visit? Let our staff know right away so we can assess and adjust your appointment as needed.

Pregnancy symptoms vs. illness? If you’re unsure whether you’re experiencing pregnancy-related symptoms or something more serious, please call ahead for guidance.


Late Arrival Policy

Please arrive 10 minutes early to allow time for check-in or paperwork updates.

  • If you are running late, call our office as soon as possible.
  • If you are 15 or more minutes late, your appointment may be shortened or rescheduled depending on availability.

Mask Policy

As of March 8, 2022, masks are optional in our offices. You are welcome to wear one if you prefer.
